 Provides general assistance to the Planning Department and assists the Administrative Officer in coordinating development applications to the Planning Board. Assists the Director or the Deputy Director in their role as administrative officer to the Planning Board.

Duties include:  Processes purchase orders, payment requisitions, payroll and associated timesheets, and attendance records of department employees.  Collects and tracks fees including but not limited to Planning Board application fees, engineer review fees and "Fee's in Lieu of Open Space".  Deposits all revenue into the City’s accounting and budgeting database system (MUNIS).    Maintains various department records and files including but not limited to grant reimbursements and general expenditures.  Processes planning board applications when requested by the Director.  Assists with recording plans and land use decisions at the City Clerk’s Office.  Writes and edits various correspondence including decision letters to ensure they are accurate, concise and grammatically correct.  Tracks financial data including Department budget, and accounts including grant reimbursements, application, review and other fees.   Assists the general public with interpretations of the Planning Board’s Land Development Subdivision regulations, and Comprehensive Planning and Land Use Regulations.  Prepares meeting notices, agendas, minutes, reports, recommendations. Assists staff by posting said documents to the RI Secretary of State’s Office for the following public bodies; Planning Board, Historic District Commission, Harbor Management Commission, Cemetery Commission, Conservation Commission, Land Trust, and other special committees, commissions, boards, and bodies that are created on a temporary basis.  Coordinates project review with city departments, municipal staff, Planning Board, local boards and commissions, and state agencies.    Attends and helps facilitate Planning Board meetings along with the Director.    Performs related work as required.

Education & Experience: Must possess a related associate of arts or science from a college or technical school, and a minimum of one year of experience providing technical, clerical and/or administrative support in an organization responsible for planning, community development, or similar functions; or an equivalent combination of education and experience.
